How to fulfil storefront orders
From the moment a customer pays, to the moment they get a shipping email with tracking β exactly what happens on your side, step by step.
In one sentence
Customer pays you β you buy + upload a Royal Mail label β you pay MeshX for the print β SP Co prints + ships β you paste the tracking number β customer gets a tracking email.

Customer pays on your storefront
When someone checks out on your shop, Stripe handles the payment and we save the order to your dashboard automatically. There's nothing for you to do at this point β the customer gets two emails:
- Stripe's payment receipt
- Your branded order confirmation (βOrder confirmed β [your store name]β)

You get a sale notification
We email you the moment payment lands: subject βNew order β [your store] (Β£X.XX)β. The email links straight to your Orders dashboard where the new order is sitting in Awaiting label.

Download the Click & Drop CSV
On the order's row, click 1. Click & Drop CSV. You get a one-row CSV pre-filled with:
- Customer name + address + postcode
- Weight (0.15 kg per t-shirt)
- Service code
STL2(Royal Mail Tracked Large Letter 48) - Order value (for customs declarations on overseas orders)
Tip: tick multiple orders to download one batch CSV β uploading 30 labels at once on C&D is much faster.

Buy the label in your own Click & Drop
Open parcelroyalmail.com and sign into your own account. (You don't need an OBA account β a normal Click & Drop account works fine.)
- Go to Orders β Import orders
- Upload the CSV we gave you
- Pay for the label (Β£2.85 for Tracked Large Letter 48 at the time of writing)
- Download the postage-label PDF (Royal Mail emails it too)

Upload the postage label PDF
Back on the order row in MeshX, click 2. Upload label PDF and pick the PDF Royal Mail gave you. The status flips to Label ready Β· awaiting payment.

Pay the print cost & send to the printer
Click 3. Pay & Send to printer. You'll either:
- Be redirected to a Stripe Checkout page to pay for the print cost (default), or
- Have the cost auto-charged to a saved card (if you enabled Auto-pay in your fulfilment settings).
The print cost depends on your tier:
- Standard: catalogue rate
- Inner Circle: catalogue β Β£1 per garment
- Staff / admin: cost + transfer (or free, depending on your account)
The order appears in SP Co's Order Processing queue with a Storefront badge, alongside everything else they're printing that day.

SP Co prints, packs, and ships
Within 1β3 working days, the printer prints your designs onto t-shirts, packs them with your packing slip (auto-generated), attaches the postage label you uploaded, and posts the parcel.

Add tracking β customer is auto-emailed
Once SP Co has shipped, copy the Royal Mail tracking number from your Click & Drop history and paste it onto the order's Tracking row.
The moment you save it, we email the customer: βπ¦ Your order is on its wayβ with the carrier, tracking number and a one-click track-my-parcel link.

Make this automatic
In Setup β Fulfilment & billing you can turn on two automation toggles:
- Auto-send to printer β the moment you upload a label, the order is queued. No extra click.
- Auto-charge stored card β print cost charged automatically from a card on file. No Stripe Checkout per order.
With both on, your flow becomes: download CSV β buy label β upload PDF β done.
That's it
Every storefront order goes through the same 8 steps. Once you've done a few, the whole process takes about 90 seconds per order β less if you batch labels.
